Method and sources
- Cost = price per seat × seats billed. Annual billing uses the per-month price shown for annual plans, paid up front; monthly billing uses the month-to-month price. Totals are per month and per year.
- Only official vendor pricing pages are used. Each number is stored with a verbatim evidence snippet, the page view it came from and the date (2026-10-18); a daily refresh re-checks every snippet and flags changes for a human. Data is never changed automatically.
- The calculator picks, for each CRM, the cheapest plan that fits your team (seat caps and minimums applied) and any requirement you tick (workflow automation, free plans only). “Workflow automation” counts only where the plan's feature list on the official page names it; “not stated” is never read as “missing”.
- monday CRM sells seats in fixed team sizes (3, 5, 10, 15, 20, 25, 30, 40, then sales); the calculator bills the next size up. HubSpot Starter shows a “limited-time” price on the page; we use the price shown and flag it. HubSpot Enterprise has no clear monthly price (pending). Not priced publicly or not shown in the US view, so pending: Zoho CRM Ultimate, monday CRM Ultimate and Capsule Ultimate.
- Not included: tax, calling/SMS usage, add-ons, AI or HubSpot credits, onboarding, nonprofit or startup discounts, regional pricing.
- The server is in Denmark, so several pages would show euros or pounds. To read the USD prices a US visitor sees, each page is loaded with the signal that page itself uses to choose the currency (listed per vendor below). Nothing else on the page is altered.
- Rankings are by total price, then name. Affiliate status is never read by the calculator or the ranking (tested). There are no affiliate links.
